Maribyrnong College provides a broad education for students in Years 7-12. It is also home to Victoria's only state-funded Sports Specialism with a sports enrolment comprising nearly 40% of the school population. TASKS & RESPONSIBILITIES

  • Manage Parent Enquiries - Respond to phone, email, and in-person enquiries. - Provide clear information about application process, eligibility, program structure, expectations and timelines. - Maintain professional, timely communication to ensure a positive parent experience.
  • Oversee the Application Process - Manage the end-to-end admissions workflow (applications, EOI's, Request for Student Information, Scholarship offers). - Maintain accurate applicant records in the management system (Fillout). - Request academic reports, NAPLAN and supporting documents when required. - Coordinate communication with applicants regarding mission information, rescheduling of trials.
  • Coordinate Selection Trials - Schedule trial dates with Talent Manager, Head Coaches and Program Managers. - Prepare trial lists, attendance sheets and selection and ranking forms. - Communicate trial and performance testing details to families. - Organise logistics (venues, equipment, staffing requirements).
  • Support Selection Panels - Collate trial results, testing data and academic information. - Assist in reviewing and ranking applicants based on selection rubrics. - Maintain confidentiality and integrity of selection processes.
  • Communicate Scholarship Outcomes - Draft and send offer letters, student-athlete agreement, waitlist notifications and unsuccessful outcomes. - Provide follow-up advice to families on next steps (acceptance timelines, enrolment documents, uniform, transition information).
  • Relationship & Stakeholder Coordination - Work closely with: - Talent ID Manager - Head coaches and Program Managers - School leadership teams - Office staff - Build positive rapport with families and external sporting organisations.
ADDITIONAL TASKS
  • Manage change of status requests with Talent ID Manager
  • Coordinate MSA Tours
  • Update web information for tours / admissions
  • Provide reports to Finance Manager
ESSENTIAL ATTRIBUTES & SKILLS
  • Excellent written and verbal communication skills.
  • Strong customer service orientation and a friendly, approachable manner.
  • High level of organisation, with the ability to manage multiple deadlines.
  • Strong attention to detail and accuracy in data handling.
  • Ability to maintain confidentiality and exercise sound judgement.
  • Proficient with student management systems, spreadsheets and digital communication tools.
  • Ability to work collaboratively with staff at all levels.
  • Problem-solving ability and confidence in handling sensitive conversations.
  • Understanding of sporting environments and talent pathways (desirable).
SELECTION CRITERIA

  • Demonstrated capacity to develop and deliver operational plans consistent with the strategic direction of an organisation.
  • Demonstrated ability to analyse and manage data.
  • Strong interpersonal skills including the ability to communicate with people from a variety of backgrounds (eg. student-athletes, coaches, parents, stakeholders, etc.).
  • Ability to create communication and promotional campaigns.
